Cancellations, Refunds and Substitutions Policy

Smart, Savvy and Associates hosts a wide variety of events, workshops and coaching session throughout the year, processing a large number of financial transactions and collecting registration data.

The following provides important information concerning any request to cancel, substitute another person or request a refund of fees for our events.

Open-enrollment Refund and Cancellations

 

We realize circumstances beyond your control may prevent you from attending an event/ workshop or participating in a scheduled coaching session for which you have paid. It is our desire to meet your goals and serve your financial interests while satisfying our goals and financial commitments.

If you have paid but are unable to attend a workshop, we ask that you notify us at least 31 days before the first day of the workshop so that we can attempt to fill your vacancy. Cancellation notifications by a registered event, workshop or coaching participant (registrant) must be received in writing via email to the Event Contact address that is provided in your Online Registration Receipt and Registration Confirmation Email.

Workshops

 

If you notify us by email at least 31 days before the first day of the workshop:

Regardless of whether we are able to fill your vacancy, you will have the option of transferring your payment to a future event or receiving a refund.

If you paid by credit card and request a refund, we will deduct 10% from your refund to cover bank and administrative costs.

 

If you notify us via email less than 31 days before the first day of the workshop:

You may attempt to fill your vacancy by suggesting that someone you believe is an appropriate fit contact us.

If we are able to fill your vacancy, you may request a refund or a transfer to a future event; in either case, the administrative fees described above will apply.

If we are unable to fill your vacancy, your payment is non-refundable and will be applied toward the financial commitments we have made on your behalf.

 

If you do not notify us in advance:

If we do not receive any written notice from you and you do not attend the workshop, there will be no opportunity for refund or transfer.

Coaching Sessions

 

If you need to cancel a coaching session:

You may do so without penalty if you provide at least two business days’ email notification to your coach with whom you are scheduled, you receive your coach’s confirmation of cancellation, and you reschedule the session for an alternate time within 30 days of the date of the cancelled session.

If the rescheduled session does not take place within 30 days of the date of the originally-scheduled session, you will forfeit that coaching session.

Smart Savvy Leader Lounge Events

 

For Leader Lounge events, a request for cancellation (and refund) will be accepted up to the deadline time of 12:00 PM Noon, 1 week (7 days) in advance of the event. For example, for a Thursday event, your cancellation must be received by 12:00 PM Noon the previous Thursday. Smart Savvy must make commitments to suppliers at that time and making changes will result in additional labour, costs or penalties. If the cancellation request is received after the deadline, we cannot issue a refund and would recommend a Substitution (see below).

Substitutions

 

Registrants who cannot attend a Leader Lounge event are encouraged to exercise the option of providing a substitute participant to attend in his/her place. A written notification of a

substitution will be accepted by email up to the morning of the event. When signing in at the event, the substitute participant must show an email from you authorizing the substitution.

Smart Savvy Cancellations

 

If we need to cancel or reschedule a workshop or Leader Lounge Event

If unforeseen circumstances require us to cancel a workshop, we will notify you 15 days in advance. We will assume no financial responsibility for travel costs you may have incurred. You may choose to either receive a full refund of your payment to us or request a transfer to a future workshop.

All refunds will only be made using the original form of payment. For example, if you registered using a Visa card, any refund will be credited back to that same Visa card.

If we need to cancel or reschedule a coaching session:

If unforeseen circumstances require us to cancel a coaching session, we will notify you as soon as possible and will reschedule the session with you for a time that is mutually convenient.

Helpful Tips

 

To help expedite a request for a refund or substitution, please provide the registration reference number found in the subject line (and elsewhere in the body text) of your Registration Confirmation Email message.

We cannot view and do not require, your credit card number (that information is encrypted & protected) to perform a refund transaction. Never put any credit card information in an email.
